Can we invite specific candidates to take a test on the EnglishScore app on a specific date?
Yes, you can request an Easy Invite session for your users. This allows you to control exactly who receives test invitations and when (compared to the open-ended nature of the Connect Code).
The Easy Invite feature is a streamlined process that allows Dashboard Administrators to efficiently manage test takers and distribute official test invitations directly via email. By replacing the older method of manually distributing Connect Codes, this feature offers enhanced and easy control over test taker onboarding and management.
This comprehensive reference guide details the feature and provides instructions for its effective utilization.
Accessing the Dashboard page
Before you begin, ensure that you have access to the Dashboard, and log in with your credentials.
| If you do not have access, or you are unable to log into the Dashboard, please contact the EnglishScore Test Operations team to resolve any issues you have. |
When you have successfully logged in, click on the ‘Organise Tests’ section of the Dashboard, as seen in the image to the left of this text.
| If you are yet to do so, please contact EnglishScore Support via any of our available channels to set up invite-only testing projects. |
Using the Invite-Only feature
Locate the 'Invite test takers' button on the far right of the page and click it.
You will be taken to the tab displaying all information for the chosen Testing Project.
To incorporate new test-takers, utilize the '+ Add' button. You will need to supply the test-taker's first and last names. If you requested an extra input field, such as a Student ID, remember to fill in the corresponding box as well.
You can also bulk import multiple test-takers using a CSV file by following the steps below:
Click the small arrow beside the ‘Import Applicants’ button.
Click the ‘Download import template’ button and save the file to your computer.
In the newly downloaded CSV file, fill in all the required information. Please do not create any new columns in the sheet.
Save the CSV format file.
Click the ‘Import Applicants’ button, select your completed CSV file, and complete
the upload process.
Sending the Invites
To send the invite emails to your student(s), click on the checkbox beside each applicant/test-taker. You can also click the checkbox beside the ‘Full Name’ column on the top left to check all eligible test-takers in the testing project.
And click on the ‘Send Invite’ button
To modify the language of the invitation email, click the 'Invite Language' button located to the left of the 'Send Invite' button. A drop-down menu will appear, allowing you to choose your desired language from the available selections. You can remove test-takers from the list by checking the box next to the name you wish to delete and then clicking the 'Remove' button, which is found at the top right of the page. |
Backup Connect Codes
A backup Connect Code is provided within the applicants list, which can be utilized through the standard Connect Code entry process.
Individual Connect Codes are helpful if a test taker cannot receive the EnglishScore email, perhaps due to a full inbox or spam filtering.
It is important to remember that each individual code is specific to the test taker it was issued to and will not work if used with a different email address.
Easy-Invite in numbers
On the same page where you manage test invites, there's a section showing you how your emails are working:
You can see what % of emails actually reached people, and how many bounced (i.e. failed to deliver) — both per test project and across all your projects combined
You can see the full journey of each email: whether it was sent, delivered, opened, clicked, or failed
If too many emails are bouncing, it'll be highlighted in red so you know to take action before the feature is temporarily restricted.
Once a first batch of 200 emails is sent successfully, the limit increases to 500 but this happens after a 24-hour window. That wait time and batch size are something we can adjust if needed.
As their delivery rate is established and confirmed to be healthy, the limit will be increased and eventually removed entirely.
